Outsourcing Letter

December 2019

To Our Valued Client:
In our effort to deliver “the power of more” for you, Gray, Gray & Gray is always seeking ways to be more effective and efficient in the work we do on your behalf. Our goal is to provide you with the highest quality services, as proficiently and economically as possible.

An important part of this effort is our ongoing relationship with Xpitax, LLC. Xpitax is a U.S. company that provides “back office” data entry and organizational services for tax professionals. We use Xpitax to enter basic data and information provided by our clients into our electronic tax preparation software program. This has helped us expedite the tax preparation process for many of our clients.

Let us be very clear: Your tax return preparation and review will continue to be completed by an experienced member of the Gray, Gray & Gray team, and your return will be signed by a member of our firm. We simply use Xpitax to perform basic data entry in an effort to streamline the process.

Because Xpitax is a third-party provider, the Internal Revenue Service requires that we obtain your consent before allowing them to input your data. Gray, Gray & Gray provided an official IRS consent form to you via DocuSign. If you agree to use Xpitax to input your data, please sign and return this consent form via DocuSign.

But before you do…

  • We have had an ongoing relationship with Xpitax LLC, and performed significant due diligence, including investigating their technical competencies and security policies, and are fully confident in their ability to perform the assigned work accurately and securely.
  • Xpitax is legally obligated to safeguard your information and has robust protection and security systems in place and operating.
  • Work will be performed by offshore personnel, a process that has long been in place among U.S. accounting firms with great success and security.
  • Even if you choose not to consent to have your information input by Xpitax, we will provide you with tax preparation services.

Please remember that we take these measures in order to make the work we do for you more efficient and economical, so that we can focus our time and effort on the critical task of interpreting and addressing the many changes taking place in the U.S. tax code and how they affect you. We thank you in advance for your assistance and understanding.

Sincerely,
Gray, Gray & Gray Tax Department
